Problem
The table-oriented document we use to organize the weekly TSC meeting is hard to find, read and maintain, and as a result priorities are not vigorously advanced.
- We use a new document every week, requiring a copy to be made and modified
- The sub-items invest most of their real estate where it is least needed
- There is no clear place to record attendees
- Follow-up work is hard to identify
Solution
There should be a standing document that holds an entry for each and every week. It would be rotated when it becomes unwieldy.
The structure of a weekly entry would be:
- Date
- Attendees and their affiliation
- New business
- Standing topics
- Notes
- Followup tasks
Workflows:
- In advance a meeting, any community member could add items to the "new business" list
- On the day of the meeting the program manager would ensure an entry for the day was initialized and update the template for the day. Each attendee would be asked to add themselves to the list.
- During the meeting the program manager would take notes.
- After the meeting the program manager would record a list of follow-up tasks.
