This will be the macro card for WPDiversity marcomms.

Individual cards will be set up for individual event promotions on the Rolling Tasks board.

How we will use Github for Marcomms items and support to WPDiversity group

Previously:

  • managed WPDiversity items on Trello and in Google documents. WPDiversity lead Jill shared information in Slack and replied to queries in Trello
  • this moved from Trello during the pilot and testing on GitHub and messages were tracked in our actions spreadsheet during the migration
  • we will no longer be using Trello for WPDiversity tasks

Going forward:

  • in the shorter term, WPDiversity group lead @jillb or Community wrangler @varlese will continue to share the planning items for WPDiversity marcomms and actual event links in the marketing slack, and include Nalini, Abha and Larissa * to help locate the message. In the medium term, we may make more use of GitHub as new functionality is coming
  • we will set up the individual events marcomms cards on GitHub
  • we will continue to use the Google Doc planners for social media drafts and scheduling in the immediate period as this allows more people to be involved, and advance work to be done. These will also reference the relevant GitHub card. Note: at present some of those contributors who wanted to be involved can not access Google Sheets, so we are using a table format in Google Docs. If we have an increase in the number of events, we will need to find ways to use Google Sheets again and for better integration with other social postings
  • the customized web links for Eventbrite and social media/ promotion will be added to the individual GitHub event card to make it easier for WPDiversity team and others interested to use these links, and for measurement
  • posts and key messages which can be shared by the WPDiversity team and wider on their channels will be linked from the relevant GitHub card and this will help with signposting these and avoid them having to be posted in multiple slack channels. They will continue to be promoted in the marketing and WPDiversity meetings
  • anything sent to Marketing/ group working on WPDiversity Marcomms which is not ready for public / wider consumption, as is the case now, will not be published on GitHub until finalized, and will be marked up in our planning spreadsheet. This has worked well in the testing when Jill or Angela has let us know of future plans that are not yet finalized, and allows marketing to better support WPDiversity and schedule tasks. It may be possible to use a task group discussion on GitHub for these in the future, so the content can be just transferred when finalized without having to be rewritten
  • anything extra WPDiversity group wants to be highlighted in the weekly marketing meetings, can also be added to the Monday call for agenda items/ links
  • we will continue to highlight and check on inclusion of WPDiversity items in the WordPress project’s newsletters (eg Month in WordPress, Meetup newsletter, Polyglots newsletter).

Done as part of migration:

  • transferred with repo
  • as board not updateable post transfer due to a bug, cards being transferred to Marketing Tasks board
  • labels added
  • Shanta's tag now showing so added

To do:

  • issue itself to be transferred as part of group when wiki / documentation is ready
  • Anjana's tag is not being recognized. To be added
  • process being revised, when complete to be attached to this macros card to complete the documentation
  • Katie's tag to be found and added

Update from Slack Feb 2022:

@eidolonnight: It seems like a lot of effort for a new GitHub issue to be created for every event. I’ve asked Jill to just share these in-channel and to tag Anjana Vasan and I so we can schedule them to Sprout. We can help keep this easy for now, and iterate on this process in the future. @nalininsbs @murillol

@eidolonnight So I understand that the process detailed above in the main card will be paused. We usually post WPDiversity events on the @ wordpressevents Twitter and Facebook, as well as on the Marketing Team LinkedIn page. It's alright if we continue to do that?

Is this card still live @murillol before I transfer it to the main board? I think I have seen ongoing updates on LinkedIn etc. Thanks
